(writing a memo) – Respond to the following prompt, writing a memo that abides by all format and content guidelines. Apply at least one organizational marker.

You are the Chief Pharmacist at Lebanese International University Health Center (LIUHC). The normal working hours are M-F from 8 am – 5 pm. However, fewer students come to the pharmacy over the summer, so the Campus Health Director has decided to change the summer hours to 8 am – 3:30 pm. This change will be in effect from May 23rd-August 22nd. It’s currently April 21.
The Director has asked you, as Chief Pharmacist, to write a memo to the part-time pharmacists and pharmacy technicians informing them of this change. In addition, you need to keep in mind that these employees are paid by the hour.
Write a memo that explains the reasoning behind this change in hours and also assuages the concerns of the employees. Remember that memos are public documents, and you, therefore, cannot just blame the Director.

Answer:

Memorandum No. 0009

Sender: Debora Min Chief Pharmacist at Lebanese International University Health Center

Recipient: pharmacists and pharmacy technicians

Subject: changes in working hours.

Lebanese International University Health Center, March 13, 2020.

Pharmaceutical and technical ones.

I would like to inform you about changes in your work schedule. From May 23 to August 22, your working hours will be reduced from 8 am - 5 pm to 8 am - 3:30 pm. The reason for this change is the reduction in the number of collaborators, since fewer students are available during this period of time, due to the summer holidays. However, we know that it affects your salary, so I would like to invite you to participate in a meeting where we will discuss the best way to reward you. The meeting will take place on March 30, at 9 am, in the boardroom.

Before I would like to clarify that:

  • The reduction of the workload thinking about the well-being of our technicians and pharmacists.
  • The workload reduction was carried out to avoid overloading workers.
  • No worker will be harmed by the new guidelines

Debora Min

Chief Pharmacist at Lebanese International

Step-by-step explanation:

A memo is a short, quick, simple text, with direct language and without flourishes, that is, the memo allows a language that goes straight to the main point of the message, without arrogance and subterfuge. Most of the time, the memo has professional and commercial objectives, which justifies the simplicity with which it is written.

A memo must have the following elements: Memo number, Sender; Recipient, Indication of the subject; Place and date; Message body, Signature and title.
